Exhibitor Terms and Conditions - General Conditions of participation - Exhibitors
- Purpose
- These terms apply to exhibitors participating in the trade fair organised by Happy Monday SARL-s and Element SRL.
- Registration and Payment
- Registration becomes effective upon receipt of the duly completed registration form
- Full payment of the invoice must be made prior to the event. No exhibitor will be admitted without advance payment in full..
- By registering, the exhibitor agrees to abide by the event rules.
- Modification of Registration
- Any changes must be notified to the organisers in writing.
- Requests will be accommodated where possible but cannot be guaranteed.
- Pricing
- Prices are in euros (€) and excluding VAT.
- Full payment is required to validate registration.
- A “Happy Early Booking” discount of 15% applies to all registrations paid for before 30 January 2026.
- Cancellation Policy
- • Within 8 days of registration: Free of charge.
- • Up to 60 days before the event : 50% of the total amount will be invoiced.
- • Less than 60 days before the event or in the case of an unused registration: 100% of the amount will be invoiced and payable.
- In line with Luxembourgish legislation, services relation to accommodation and transport (hotel bookings, transfers, etc.) are not subject to the right of withdrawal, in accordance with the exceptions provided for in European Directive 2011/83EU, as transposed into national law.
- Therefore, all hotel and transfer bookings are firm, non-modifiable and non-refundable. The full amount will be invoiced and due, even in the event of cancellation.
- Payment Terms
- Payment must be made within 30 days of the invoice date.
- If registration is made less than 30 days before the event, payment must be received before the event date.
- Late Payment
- In accordance with Luxembourg Law of 18 April 2004 on combating late payment in commercial transactions (implementing Directive 2011/7/EU), any late payment shall result in :
- • interest charges at the ECB refinancing rate, plus 8 percentage points ;
- • a penalty of 15 % of the total amount due ;
- • fixed recovery costs of € 150.
- Set-Up and Equipment
- Exhibitors must respect the setup and dismantling schedules communicated by the organisers.
- Any equipment brought on-site must comply with current safety regulations.
- Liability
- The organisers accept no liability for loss, theft, damage or deterioration occurring during the event.
- Each exhibitor is solely responsible for their own belongings.
- Use of Space
- Exhibitors must follow all organisational guidelines (timing, layout, cleanliness).
- Failure to comply may result in penalties.
- Intellectual Property
- Exhibitors warrant that the products, brands, and materials they present comply with intellectual property laws.
- Reproduction of event-related content is prohibited without prior written permission.
- Personal Data Protection
- All personal data collected is processed in accordance with the General Data Protection Regulation (GDPR).
- It is used exclusively for the organisation of the event.

- Right to Image
- The Exhibitor hereby expressly authorizes the Organizers to capture, reproduce, and disseminate, without any financial consideration, their image, as well as that of their stand, products, and/or representatives, through photographs, videos, or any other visual media created during the Event.
- Such materials may be used, in whole or in part, on any medium (including, but not limited to, websites, social media platforms, and printed or digital promotional materials) and for any communication related to the Event or to the Organizers’ activities, within the European Union and for the legally applicable term of protection of the related rights.
- The organisers guarantee that it has obtained the consent of all natural persons appearing at its stand whose image may be used in this context.
- Governing Law
- These terms and conditions are governed by Luxembourg law.
- In the event of a dispute, only the courts of the Grand Duchy of Luxembourg will have jurisdiction.
- Acceptance
- Submitting the registration form implies full acceptance of these general terms and conditions.
